What is the WhatsApp Business API? A plain-English guide for companies

The WhatsApp Business API is Meta's official way for a company to run WhatsApp from a system instead of a phone. This guide explains how it works, how it differs from the free app, and when it is worth moving to.

What the WhatsApp Business API actually is

Its full name is the WhatsApp Business Platform; most people call it the WhatsApp Business API or just the WhatsApp API. The idea: instead of a WhatsApp number living on one phone in one app, the number is connected to Meta's servers through a programmatic interface, and a platform such as Marsal Cloud connects to that interface.

The number becomes a channel rather than a device. Ten agents can answer it at once from their laptops, software can reply automatically to common questions, and your online store can send order confirmations and shipping updates without anyone touching a phone.

Since 2023 Meta offers the API as a hosted Cloud API and has retired the old self-hosted version. Everything in this guide refers to the Cloud API.

Rule of thumb: one or two people replying — the free app is enough. A team, an online store, or a need for automatic notifications — you need the API.

How it works in practice

  1. A Meta Business account, verified with your company documents.
  2. A phone number registered on the API, local or international, not currently on the WhatsApp app.
  3. A platform such as Marsal Cloud that connects to the API and gives you an inbox, team management, a bot and campaigns.
  4. Templates: any message the company starts (not a reply) must be a template approved in advance by Meta.

The 24-hour window

The single most important concept. When a customer messages you, a 24-hour window opens in which you can reply with free-form text at no charge. After it closes, you can only reach them with an approved, paid template. Good support teams are built to reply inside the window; templates are for notifications and campaigns.

Template categories

Templates are marketing (offers, campaigns), utility (order confirmation, shipping update, appointment reminder) or authentication (OTP codes), each with its own price. Full numbers in the pricing guide.

When a company needs the API

How to start in three steps

  1. Choose a platform on the official Cloud API that supports your market (Arabic, local currency, local integrations).
  2. Prepare a number not in use on WhatsApp, and your company documents. The platform handles the Meta connection.
  3. Start with replies — a shared inbox and a bot for FAQs — then add store notifications, and only then campaigns to customers who opted in.
On Marsal Cloud all three steps are done within one business day, with a 14-day free trial and no card required. See the UAE guide or Saudi guide for local requirements.

Frequently asked questions

What is the WhatsApp Business API in one sentence?

It is an official Meta interface that connects a WhatsApp number to an external platform (such as Marsal Cloud) instead of a phone app, so a whole team can reply, a bot can automate answers, and approved campaigns can be sent.

Is the WhatsApp Business API free?

Access to the Cloud API is free from Meta, but business-initiated messages (marketing, utility, authentication templates) are charged per message by the recipient's country. Replies to a customer within 24 hours of their message are free. The platform that manages conversations has its own subscription.

Do I need a developer to use it?

Not if you use a ready platform. The platform handles the technical connection and you work from a normal dashboard. A developer is only needed to connect your own internal systems through the REST API.

Can I keep my current number?

Yes. The number is removed from the WhatsApp app and registered on the API. Old chat history does not migrate, so export it first.

Is it available in Egypt, Saudi Arabia and the UAE?

Yes, in all three, through an approved solution provider such as Marsal Cloud, with a local or international number.
